For an organization with employees spread across multiple states and locations, getting a laptop into the hands of a new hire is rarely as simple as placing an order. Someone has to select the right hardware, make sure it is available, configure it to company standards, enroll it in the right systems, ship it to the employee, track inventory, and then be ready to support that device throughout its lifecycle.

At United Energy Workers Healthcare, that work had become an ongoing responsibility for an internal IT team with much bigger priorities. UEW provides in-home healthcare and support to energy workers across the country, which means its technology needs extend well beyond a traditional centralized office environment.

What began as a hardware procurement relationship with Universal Systems evolved into something broader: a repeatable employee device deployment program designed to run alongside UEW's internal IT organization. Today, Universal Systems helps manage everything from hardware standardization and dedicated inventory to Microsoft Autopilot enrollment, provisioning, nationwide fulfillment, onboarding materials, and warranty support.

The goal is not simply to get laptops out the door. It is to make the entire process predictable enough that UEW's IT team does not have to manage it day to day.

The Challenge: Taking the Friction Out of Employee Onboarding

Every new employee creates a chain of technology tasks. Hardware has to be selected and ordered. Inventory needs to be available. The device has to be configured correctly and associated with the organization's deployment environment. Shipping needs to happen early enough that the employee is ready on day one.

For a distributed healthcare organization, doing that consistently becomes a logistics problem as much as an IT problem. Waiting until someone is hired to begin sourcing equipment introduces procurement lead times and inventory risk, while handling every setup manually pulls technical staff away from infrastructure, security, compliance, healthcare applications, and other work that has a much larger impact on the organization.

UEW wanted a process that could support ongoing hiring without recreating the same procurement and deployment workflow every time a new employee joined the company.

Universal Systems worked with UEW's IT leadership to build that process from the ground up.

Standardizing the Technology First

The foundation was endpoint standardization.

Rather than treating every computer purchase as an individual decision, UEW and Universal Systems developed approved hardware packages based on job function. Mobile employees, clinical staff, case managers, finance personnel, shared services teams, and other groups could receive different configurations based on what they actually needed to do their jobs.

The standardized packages center on Lenovo ThinkPad notebooks and can include dual displays, Lenovo USB-C docking stations, wireless keyboard and mouse bundles, Windows 11 Pro, Microsoft Autopilot enrollment, and three-year onsite warranty coverage with sealed battery protection.

Standardization makes the rest of the program possible. UEW knows what hardware its employees will receive, its IT team supports a more consistent endpoint environment, and USI can plan inventory around a known set of configurations rather than starting from scratch with each request.

It is the same philosophy behind Universal Systems' broader business hardware and device deployment approach: choose technology around the operational requirements of the business, then build a repeatable system for deploying and supporting it.

Keeping Hardware Ready Before It Is Needed

Standard hardware is useful only if it is actually available when someone needs it. Instead of waiting for a new employee to be hired before beginning the procurement process, Universal Systems maintains a dedicated stockpile of UEW-approved systems.

When UEW submits a new-hire request through its ticketing system, Universal Systems is automatically notified. The appropriate device can then be allocated from inventory, prepared for the employee, and shipped directly to them. Because the approved hardware is already on hand, systems can often ship the same day rather than waiting for manufacturer lead times or availability.

That changes the role hardware plays in the onboarding process. Instead of procurement becoming something that has to begin after a hiring decision is made, inventory is already positioned in anticipation of demand.

Behind the scenes, Universal Systems and UEW have established minimum stocking levels, maximum inventory thresholds, and replenishment points for each approved package. When inventory falls below the agreed baseline, replenishment can begin through a pre-authorized purchasing process. Stock levels are reviewed regularly so the inventory model can continue to reflect UEW's hiring needs.

For UEW's IT team, that means there is no need to continually monitor laptop inventory, forecast routine consumption, manage individual reorders, or chase purchasing approvals every time stock begins to run low. USI manages the operational side of IT hardware procurement and inventory management while UEW retains control over the standards themselves.

Provisioning Devices Before They Reach the Employee

The work also continues between the warehouse and the employee's front door.

Before an approved system leaves Universal Systems, it is enrolled in Microsoft Windows Autopilot, Microsoft's technology for preparing and configuring new Windows devices. UEW's IT team maintains its deployment profiles and security standards, while USI handles the physical device preparation and white-glove provisioning required before shipment.

The division of responsibility is important. UEW remains in control of its environment, policies, and user experience, but its internal team does not need to physically touch each laptop before it reaches an employee.

When the user receives the system and begins setup, the device can move through UEW's established deployment process rather than requiring the IT team to manually configure a computer remotely or ship it through an internal office first.

Each package also includes a customized welcome letter with instructions for connecting to the internet, signing in, completing multi-factor authentication, and moving through the automated setup process. That gives employees a clear starting point when they open the box and helps reduce one of the most common sources of first-day IT friction: simply not knowing what to do next.

Extending the Program Across the Device Lifecycle

A scalable device program also has to account for what happens after deployment.

Each notebook package includes three-year onsite warranty coverage with sealed battery protection, providing a more predictable service path when hardware issues occur. Combined with standardized configurations, this gives UEW a consistent support model across a distributed device fleet instead of approaching every hardware problem as a one-off event.

That lifecycle component is an important part of the relationship. Procurement, deployment, warranty support, and long-term device management are connected operational problems, which is why USI combines them within its broader Repair & Lifecycle model rather than viewing hardware fulfillment as a single transaction.

Over time, what began as purchasing computers has become an ongoing operational function.

The Result: An Onboarding Process That Runs in the Background

The clearest measure of the program is not simply how quickly Universal Systems can ship a laptop. It is how little day-to-day attention the process now requires from UEW's internal IT team.

Hardware standards have already been established. Inventory is held in advance. Replenishment rules keep approved systems available. New-hire requests trigger the fulfillment process. Devices are enrolled and provisioned before shipment. Employees receive clear setup instructions, and warranty coverage provides a defined support path after deployment.

The result is faster, more predictable employee onboarding with less administrative work for internal IT and greater consistency across UEW's technology environment.

That allows UEW's technical staff to spend more of their time on infrastructure, cybersecurity, compliance, healthcare applications, and strategic initiatives rather than the logistics behind the next laptop order.
